Guest Agreement and Declaration

Recreation Holidays Pvt. Ltd. heartily appreciates you for choosing us as your travel/tour mate. We are a local-based travel and adventure company registered and licensed (182223/074/075)- Company Registration Number) under the Government of Nepal. The company is led by our Managing Director, Mr. Hari Kadariya, who is owner/founder of our company. Our company is located in Bhagwati Marg, Thamel, Kathmandu, Nepal.

Likewise, all other companies, Recreation Holidays has also its terms and conditions for all kinds of trips, including trekking, climbing, hiking, tours, rafting, paragliding, jungle safaris, bungee jumping, and so on, just like any other firm. These terms and conditions are the reflections of the trusted bond with mutual understanding between Recreation Holidays and its clients. So, please be informed that once you are ready to take up the services provided by Recreation Holidays, you (the clients) will automatically enter into a binding contract with our company. The agreement with our company includes the Terms and Conditions regarding Booking confirmation, Payment conditions, Refund, Cancellation, and other charges which are levied as per the Company’s Privacy Policy. Therefore, it is our humble request, please go through, read carefully, and understand all the Terms and Conditions explained below, before taking any further decision.

Booking Condition

It is always recommended to review the booking conditions carefully before making any reservation or confirming a trip. Filling out a form is required when scheduling any trip. Recreation Holidays always encourage our clients to book and confirm their trip by filling out the form. Booking and confirming the trip in advance is essential to avoid hassle. Once you submit the booking/reservation form, you will meet the requirements for PROVISIONAL CONFIRMATION by agreeing to all the terms and conditions that govern the bond between our clients and Recreation Holidays. This agreement encourages the resolution of any legal issues or disagreements that might come up while traveling.

You have to pay 30% of the total trip cost per person (50% in the case of Bhutan and Tibet Trips) when you are filling out the form to confirm the booking. This advance payment is the booking deposit and is non-refundable. The remaining amount (70% for Nepal Trips and 50% for Bhutan and Tibet Trips) is to be settled on arrival in Kathmandu, before the departure of the trip. All the required documentation will only be given after the payment of the remaining amount is made.

Payment Method

We have different payment modes at your convenience. Payment options include credit card or wire transfer.

A. For Credit Card Payments (Mastercard or Visa)

Our company accepts payments through the stated online payment system. To proceed with payment, first select your desired trip package. Then, provide the necessary details on the "BOOK THIS TRIP" form and make the required advance payment for your chosen trip.

A preliminary payment of 30% is a must to secure your trip reservation. After this payment, you will receive an invoice as proof of payment after 24 to 72 hours of payment. Following this, we will reach out to you via email to discuss the next steps.

Note: Any additional fees associated with transactions through Debit or Credit Cards (Mastercard, Visa, Maestro, JCB, Union Pay, SCT, American Express, Discover, or Diners Club International) will be the responsibility of the clients.

Reminder Note:

Please be informed that the bank service charges levied upon deposition are borne by the clients while transferring or paying using the card at the time of deposit. All the payments done via Credit Card are subject to a surcharge of 3.5% which is imposed by the Service provider of the Credit Card i.e., Himalayan Bank Limited. Surcharges are applied to all the payments which are deposits, final balance payments, trip extensions, and other miscellaneous purchases made using a Credit Card.

If you pay the remaining balance of the trip in Nepal using a Card, there is a 13% extra charge which is levied for local taxes and VAT. That is why we recommend you to pay in cash.

Last Minute Booking

Do not worry. Last-minute booking is acceptable for all packages of Nepal trips. It is requisite that reservations are required to be secured at least 24 hours before the departure of the trip/tour. Given the scenario, the client is obliged to immediate and complete payment for the trip.

For Bhutan Trips, we do last-minute bookings till 10 days before the trips depending on availability. It might require full payment for most of the Bhutan trips.

Cancellation of the Trip and Refund Policy:

There will be no refund by the Company if you leave the trip voluntarily for any reason after the trip has started. Refunds will be given at the company's discretion if you are forced to cancel your trip for any reason. Please be informed the company will not provide any refund or reuse of any accommodation, meals, transportation, or any other kinds of services not used by the clients. Also, take note that before a trip is confirmed, the company maintains the right to cancel any reservation made by the consumer. A trip is confirmed to proceed with just two fully paid travelers unless specified otherwise by minimum participant requirements.

The company reserves the right to cancel any trip, including those guaranteed, before departure due to various adverse circumstances such as unforeseen natural disasters, flight cancellations, strikes, conflicts, government interventions, weather conditions, and group members' health concerns. The booking deposit (equivalent to 70% of the total amount) remains non-refundable in such instances. Still, it can be applied towards the immediately following season of the same year or an alternative trip of equal value, as chosen by you. However, any already paid trip costs (70% of the total trip cost) will be refunded, with a deduction of 13% for Government Tax.

Written notice is required to cancel your trip. The day that the company receives your formal cancellation is taken as the trip cancellation date. In the event of a cancellation, any money that the company has already charged you is not refundable; however, you can use it again within a year of the booking date. If a cancellation notice is provided one month before the trip departure date, 100% of the total charged amount is reusable. Reusability drops to 75%, 40%, and 0%, respectively, if a cancellation notice is received 25 days, 20 days, or 15 days before the trip's departure date.

Trip Modifications/Amendments:

All the fees related to the modifications or amendments apply exclusively to the trips featured on our website. The following fees apply to any changes made to bookings:

If the Company receives a request to modify/amend a booking 60 days or more before the scheduled departure date, an additional fee of USD 100 per person will be charged. However, if the request is received less than 60 days before the planned departure date, the fees will be implied according to the Company’s cancellation policy. Should there be any changes in the trip's price between the original booking and the amendment date, the new price will apply to the reservation. These fees are separate from any charges imposed by hotels or other service providers.

Also, there will be an additional fee of USD 100 per person per change to the modifications to other arrangements done alongside your trip booking which includes hotel booking, flight transfers, or any other kind of adjustments required for the reservations. Please note that modifications/amendments to bookings within or less than 10 days of departure may not be possible. If any modifications or amendments are possible, there will be a minimum fee of USD 100 per person for late changes and a maximum fee equal to the full cost of the reservation.

Deals and Discounts

We have a variety of promotional offers and discounts on different packages. These discounts often apply on certain dates especially when we have reached the minimum number of participants required for a trip. Please grab the opportunity by following our website.

First come, first serve offers with last-minute deals and many more seasonal and festival offers. Therefore, it is important to note that the cost of the same trip and services may vary among travelers within the same group, depending on the timing and type of offer they've secured.

Insurance Policy

Recreation Holidays strongly advises that before you go on your trip, you secure a comprehensive travel/medical insurance policy. This policy should include coverage for medical services, air ambulance, helicopter rescue, and emergency evacuations to safeguard your journey. Additionally, we recommend that you purchase Cancellation Insurance to protect against unforeseen cancellations.

Please ensure that your insurance policy covers all the activities planned during your trip and that it does not restrict or exclude coverage for this type of travel. We encourage you to manage these details well in advance to ensure a smooth and enjoyable holiday experience with Recreation Holidays.

Delays of Tour/Trek/Flight

There are possibilities of delays in flights from Kathmandu to Lukla to Kathmandu. There is an alternative route to Lukla i.e., a flight from Ramechhap. Weather conditions in the Himalayas are unpredictable which adversely affects the aviation schedules. Ramechhap Airport is about a 4-hour drive from Kathmandu. We will arrange the necessary ground transportation to Ramechhap Airport with no additional cost just in case the flight is scheduled from Ramechhap.

If the flight is canceled, we will make all the arrangements for rebooking the flight the next or the next option is to arrange a helicopter flight with an extra cost of USD 400 or more. The flight tickets will be refunded in our office of Recreation Holidays in Kathmandu if chosen helicopter flight to Lukla.

Documentations

  • It is a must to have a valid passport with a minimum validity of 6 months from the return date.
  • You can apply and obtain a Nepalese visa from the Embassy or Consulate of Nepal in your country or an On-arrival visa at Tribhuvan International Airport, Kathmandu.
  • Documents like TIMS permits, National Park permits, local and government taxes, entrance fees to monuments, etc. will all be arranged and managed by our team depending upon your itinerary.
  • If you are not allowed to enter Nepal due to a lack of correct visa documentation, Recreation Holidays will not bear the responsibility. It is the sole responsibility of the client to make sure proper and complete documentation has been done to obtain the Nepal visa.

Photographs and Videos

Please be informed that our tour guides or trekking staff may take photographs and videos during your tour and treks. We usually upload those on our website and social media platforms.

The following are excluded from the majority of trip prices:

  • Nepal Visa Fee, Passport
  • Vaccination charges
  • International airfare from/to Nepal
  • Extra meals, accommodation, and transportation costs that are not included in the Itinerary
  • Medical expenses, laundry bills, Beverages, Snacks, Internet
  • Emergency evacuation costs
  • Excess baggage charges
  • Tips to the staff
  • Costs incurred due to natural disasters, accidents, or any events beyond our control—including weather disruptions, airline complications, or unforeseen circumstances—are not refundable or transferable.
  • If you choose to leave the trek voluntarily and wish to return earlier than planned, please note that you will not be eligible for any refunds or transfers of costs.
  • Any items which are not mentioned in the Itinerary
